Board Meeting

WHEN: Thursday, November 14, 2018 from 7pm-8pm
WHERE: Peace Lutheran Church (Near main entrance of N. Cedar Bluff Rd.)

AGENDA:

OLD BUSINESS
1. Budget and Neighborhood Dues –
a. 2017/2018=168/$5267.89
b. 2016/2017=96/$2990.00
c. 2015/2016=125/$3820.00
d. 2014/2015=121/$3805.00
e. At last year’s dues collection we received 168 total dues payers, 35/$1050 of which were collected after past due postcards went out.

2. Street Resurfacing – Due to weather this has been delayed. Still trying for before winter or spring

3. Post card mailed to our residents for final (February) notice.
This was the first time (2017) we sent out past due postcards. Postcard cost $241 resulting in an $809 gain. We think it’s worth the money to send out past due postcards every year.

NEW BUSINESS

1) Mosquito spraying for West Nile in Cedar Bluff area – Jay Brodman called, and did get them to spray

2) Replace missing sign from Sanders & Panama – Jay Brodman called, and it has been replaced

3) Resurface utility cut out in street at Pensacola and Sarasota – Jay Brodman & Nicole Phillips called, and it was done

4) Signage etiquette at our front entrance (Realtor Signs, Yard Sale Signs, and other solicitations) – It is requested if you place a sign out that they NOT be placed in the entrance beds and that they are removed in a timely manner after the event is complete. Signs not removed after a week can be thrown away.

5) Process for out letters to homeowner’s and renter’s regarding dilapidated property and disabled vehicles (At what point do we report to the county and what is our process)

Dirty Lot- 7 letters sent
Inoperable Vehicle- 3 letters sent

After 30 days of a notice being sent to a resident about a dirty lot or inoperable vehicle and the resident didn’t respond, a copy of the notice letter will be sent to the county for them to take action on.

6) All positions on the board will be up for election at the January 2019 Annual Meeting: President, Vice President, Treasurer, Secretary (non-voting member), and 4 Board of Governors are up for volunteers.

• Vice President: Nicole Phillips (since Jan 2017)
• Treasurer: Jane Mcgee (Forever) POSITION OPEN
• Secretary: Francie Brodman (since Jan 2017) POSITION OPEN
• Board of Governor members are a one-year term therefore four positions of the 6 will be open for volunteers. Frances and Jay Brodman have volunteered to be on the Board of Governors.

The Board of Governors shall consist of ten members, six Members elected (volunteers) at large by the members of GPCA annual meeting.

5. Volunteer (1-year term) Frances Brodman (Media coordinator-Facebook, GP website, Nextdoor)

GPCA Bi-Laws:
X. (1) To be a voting member of GPCA, a person must reside within the subdivision known as Gulf Park and must have paid the annual dues that are determined by the Board of Governors on an annual basis and approved at the January General Meeting. (2) Each household will constitute a voting remit. (3) Membership in the GPCA shall become effective upon payment of dues and shall remain effective until two weeks after the next call for dues by the Board of Governors.
XI. (1) The election of officers shall be held annually at the January General Meeting. (2) No officer may be elected to the same office consecutively but may again be elected to the same office after an interval of one year. (3) To be a duly constituted executive officer, the person must receive a majority of the votes of those present at the annual election meeting. (a) The elected officers will take office at the end of the January General Meeting. (5) In the event that a member of the Board of Governors is unable to fulfill their term of office, the remaining members of the Board of Governors shall elect a person to fulfill the rest of the term
